Tadpoles has awesome tools to help you manage leads & turn tours into enrollments! Read below to find out how to manage prospective families & send out personalized sample daily reports after tours & trial days! 


 
When a family schedules a tour of your facility, go ahead and create them within Tadpoles. To do this, log into your administrator dashboard & go to the Pipeline tab.

Then click the blue, "Add Lead" button. 





In the box that pops up, enter the child's information. Select the classroom that the child would potentially be joining and under, "Tour Date" choose the day that the family plans to come in and tour. 



 
On the date of the scheduled tour, that child's icon would appear on the teacher's device. This way, the teacher is able to greet the child by name when they arrive, and they can also be checked in. "Hi, Jack! Welcome!" :)



 
After that, the touring child could be treated just like any other child. To give the family an idea of the awesome day their child would be having if they enrolled at your school, you'll notice that items added on the classroom level (lesson plans, classroom meals) would post on that prospective child's report as well. The teacher could also add a note to the child's report or take photo of the family exploring the room! 



 
After their tour or trial day, when the child is checked out of school, all of the information that was collected would be sent out to the parent by email at the address you had entered when you created the lead. Parents will love the personal touch of a note or photo, as well as seeing all of the great activities you had planned for that day! 

     

 
 
After the date of the tour, we would change the child's status to, "Visited," so in the future, you would be able to pull up a list of families who have visited, but have yet to enroll right in the Pipeline.
